Privacy notice
iSwim is timing and live-results software for local swim meets. When a club runs a meet on iSwim, that club is the data controller for the swimmers' personal data; iSwim (the software provider) acts as the club's data processor under a written data processing agreement. This notice explains what data is processed and the rights a swimmer or their guardian has.
What we process
For each swimmer: first name, last name, birth year, sex, club, the events they are entered in, and their times. Nothing else — no address, no phone number, no national ID. We store the birth year only, never the full date of birth.
Legal basis
For a swimmer under 15, publishing their name and result requires a guardian's consent, which the hosting club obtains and records. For swimmers 15 and over, the basis is the club's membership relationship. Without a recorded consent, an under-15 swimmer is not shown on any public page.
How results are published
Following the Norwegian federation's children's-sport rules, a ranked result list with times is shown only from the year a swimmer turns 11. Younger swimmers who are published appear by name only, in an alphabetical list, with no time and no placement.
How long we keep it
Results are kept for up to 24 months after a meet, after which a swimmer's identifying details are removed while the anonymous result stays on the meet record. A club can request earlier deletion at any time.
Your rights
You may ask for a copy of the data held about a swimmer, ask for it to be corrected, or ask for it to be deleted. Contact the hosting club, which is the controller. iSwim will assist the club in fulfilling the request.
Sub-processors
iSwim uses the following providers to run the service. Data is stored in the EU; where a provider is US-based, an appropriate transfer safeguard applies.
| Provider | Purpose | Region |
|---|---|---|
| Neon | Database hosting | EU (Frankfurt) |
| Upstash | Live timing infrastructure | EU |
| Vercel | Web application hosting | EU |
| Microsoft Azure | Live timing infrastructure | EU |
| Resend | Transactional email | US |
| Stripe | Subscription payments | US |
